Privacy policy
AI Cookbook is a service of Plujo, based in Ontario, Canada ("we", "us"). This policy explains what personal information we collect through aicookbook.io and the AI Cookbook service, why we collect it, who we share it with, and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
When you use our pricing calculator or get started
The pricing calculator works in your browser and we do not store what you type into it unless you continue to "Get started". If you do, we keep your name, work email, company and website, and your answers: team size, the time and hourly cost you entered, the tools you use, what you want the brain to handle first, where your business knowledge lives, any note, any promo code, and the estimate we showed you. If you arrived from a campaign link we also keep the campaign name and the site that referred you.
When you book a call, the booking is made with TidyCal, our scheduling provider, which receives your name, email address and the time you choose.
When your organization becomes a client
Billing contact details and invoices. Payments are made through Stripe, our payment processor: card and bank details go to Stripe directly and we never see or store them. We keep a record of each invoice and payment.
When you visit our public pages
We use Google Analytics on our public marketing pages to understand how many people visit, which pages they read, how they found us, and whether they sent the Get started form. Google Analytics records information such as the pages you view, your device and browser, your approximate location and the site that referred you. It is not used on sign-in pages or anywhere inside the AI Cookbook app.
The Get started form is protected by Google reCAPTCHA, which looks at information about your browser and how you use the page, including your IP address, to tell people from automated spam. Google's use of this information is covered by the Google Privacy Policy.
When you use AI Cookbook
- Your account: your name, email address, a securely hashed password and the organizations you belong to.
- Your organization's content: what your organization puts into AI Cookbook, such as brain entries, uploaded files, recipes and their runs, email sent to your organization's AI Cookbook address, and the services your organization connects. Your organization decides what goes in and who can see it; we process it on your organization's behalf.
- Security and audit records: sign-ins, tool calls, changes and approvals, with who made them, when, and from which IP address.
How we use it
- To prepare for and follow up on our conversation about AI Cookbook, and to prepare a quote for your organization.
- To provide, secure and support the service, and to bill your organization as agreed.
- To understand how our public pages are used, so we can improve them.
- To meet our legal obligations.
We do not sell personal information, and we do not use your organization's content to market to you.
AI processing
AI Cookbook sends the content needed for a task to an AI model provider to carry out that task: Anthropic, and OpenAI where your organization chooses its models. Under their commercial terms these providers do not use that content to train their models. Credentials for the services your organization connects are encrypted and are never sent to a model.
Who we share it with
We share personal information only with service providers that help us run AI Cookbook, under contracts that limit their use of it to providing their service to us:
- Google Cloud: hosting, database, file storage and encryption keys.
- Mailgun: sending and receiving email.
- Stripe: invoices, payments and subscriptions.
- TidyCal: booking calls with us.
- Anthropic and OpenAI: AI model processing, as described above.
- Google Analytics and Google reCAPTCHA: on our public pages, as described above.
We may also disclose information when the law requires it, or to protect the rights, property or safety of our customers, the public or us.
Where it is stored
AI Cookbook runs on Google Cloud in the United States (Iowa), and our service providers may process information in the United States and elsewhere. Information held outside Canada is subject to the laws of the country where it is held, and may be accessible to that country's courts and authorities.
Cookies
- Needed to work: a session cookie and a security token that keep you signed in and protect forms. These are set by AI Cookbook itself.
- Analytics: Google Analytics sets cookies named
_gaand_ga_followed by an ID on our public pages, to count visits and tell new visitors from returning ones. - Spam protection: Google reCAPTCHA may set cookies when you load the Get started form.
- Booking: TidyCal may set cookies when its booking calendar loads after you get started.
You can block or delete cookies in your browser's settings; the public pages still work without analytics cookies. You can also opt out of Google Analytics on every site with Google's opt-out browser add-on.
How long we keep it
- Get started answers and quotes: until we no longer need them to talk with you, or until you ask us to delete them. If your organization becomes a client, they become part of its account records.
- Invoices and payment records: as long as tax and accounting law requires.
- Accounts and your organization's content: for as long as your organization uses AI Cookbook. When it stops, we make the content available for export and then delete it on request, apart from records we must keep.
- Security and audit records: kept to protect the service and meet legal obligations.
- Google Analytics data: kept by Google for the retention period set in our Analytics account.
How we protect it
Each organization's data is isolated in the database itself, access is limited to what each person and key has been granted, credentials for connected services are encrypted, and every action is recorded in an audit trail. No system is perfectly secure, but we work to protect your information and will tell you and the authorities about a breach where the law requires it.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, withdraw your consent, or ask us to delete it. Email us at hello@plujo.com and we will respond within 30 days. If your information is part of your organization's content, we may refer your request to your organization's administrator.
If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
Children
AI Cookbook is a service for businesses and is not meant for children. We do not knowingly collect information from anyone under 16.
Changes to this policy
We will update this page when our practices change, and change the "Last updated" date above. If a change is significant, we will tell the organizations that use AI Cookbook before it takes effect.
